WELCOME TO HOGS FOR HOSPICE!

We thank you and welcome you to Canada’s most Southern Motorcycle Rally - Hogs for Hospice August 2-4, 2024

PLEASE READ THIS ENTIRE DOCUMENT! Important information about set up could affect your participation in this event!

1) VENDOR LOCATION, SETUP, AND TAKE DOWN

PLEASE REFER TO THE MAP FOR VENDOR ENTRANCE

Vendors with large trailers, tents, etc. will be contacted in advance for set up on Thursday, August 1. The remaining vendors will set up as follows:

Setup will take place on Friday, August 2 between 9:00am and 3:00pm. Inspections at 3:00pm. All vendors are required to be set up and on site for inspections. Properly secure your tent, equipment and merchandise for all weather conditions.

Upon arrival, you will be directed by street traffic control to one of two gates. At the gate you will be stopped by a vendor volunteer who will confirm your location and direct you to your designated space.

Take down and removal will take place on Sunday, August 4 after 5:00pm. ABSOLUTELY NO DISMANTELLING BEFORE 5PM.

2) VENDOR SERVICE AND DELIVERIES

All product, service deliveries and re-supply must be conducted by hand or handcart from the vendor parking area. No vehicles of any kind are permitted on landscaped areas at Seacliff Park. Festival and emergency vehicles are exceptions from this provision.

3) EVENT HOURS OF OPERATION

This festival is a three day outdoor event which proceeds regardless of the weather. All booths must operate in accordance with the following schedule: Friday, August 2 5:00pm to 11:00pm / Saturday, August 3, 9:00am to 11:00pm / Sunday, August 4, 9:00am to 5:00pm

4) SECURITY

Overnight security will patrol Seacliff Park. The vendor is responsible for his/her merchandise and booth throughout the festival weekend. It is important to note that the Hogs For Hospice Motorcycle Rally is not responsible for vendor products, equipment, and other possessions.

5) PROHIBITIONS

Weapons of any kind, knives, or items deemed unsafe may not be brought on the site. Images of weapons, however presented or displayed, on t-shirts, hats, belt buckles, and/or any other items are strictly prohibited. If these prohibitions are violated, immediate removal from the site will take place.

ROAD CLOSURES

Both lanes of Seacliff Dr. from Sherk St. to Erie St. South will be closed starting at 5pm Friday. No Vehicles will be permitted through after this time, with the exception of motorcycles. ALL VENDORS MUST BE SET UP AND PARKED IN THE VENDOR PARKING AREA BEFORE 3PM FRIDAY. THE ONLY ENTRANCE FOR VENDOR PARKING IS ACCESSIBLE FROM SEACLIFF DR WEST ENTRANCE AS DESCRIBED ON THE MAP. A BLUE VENDOR PASS ONLY WILL GET YOU PAST THE ROAD CLOSURE.

VENDOR PARKING

ALL VENDORS MUST PARK IN DESIGNATED VENDOR PARKING AREA ONLY. Vendors will receive one (1) FREE parking pass which must be displayed on the windshield and which will be applied by H4H Ambassadors. Vendor related vehicles found on landscaped areas of Seacliff Park will be towed at owner’s expense. Sharing or loaning parking passes is strictly prohibited.

VENDOR SITE INFORMATION

Overnight camping or tenting on Seacliff Park grounds is STRICTLY PROHIBITED. All vendors are responsible for any and all permits, licensing and insurances, with respect to their products, sales and services, including vendor licensing and health permits. Food vendors shall maintain strict compliance with all food related municipal, provincial, and federal health laws and regulations.

FIRE & SAFETY

ALL VENDORS MUST BE SET UP AND READY FOR 3:00PM ON FRIDAY FOR HEALTH & SAFETY, FIRE AND HEALTH UNIT INSPECTIONS.

As per fire code non-food vendors will be REQUIRED to have a 5lb 2A10 BC FIRE EXTINUGISHER at your booth with you in case of emergency. Food vendors are REQUIRED to have a 2.5lb Class K extinguisher in the food preparation space. All extinguishers must be certified within 12 months of the event inspection date. Food vendors will be inspected by the fire department, health unit and TSSA. It is the responsibility of the vendor to have all required documentation up to date and available.

Bring with you all extension cords you may require – proper lengths and gauge for the amperage you are using. No extension cord smaller than 12-3 shall be used. Bring rubber mats to put over cords/cables to avoid safety hazards.

CERTIFICATE OF INSURANCE & LIABILITY

All exhibitors must possess their own insurance coverage for their possessions, materials, equipment and products while on site. All vendors must execute the ‘Hold Harmless Agreement’ in favour of the Municipality of Leamington.

6) WINDSOR-ESSEX COUNTY HEALTH UNIT & HEALTH AND SAFETY

Food vendors must provide the ‘Windsor Essex County Health Unit Food Vendor Application Form’ [email protected], marked as approved. All vendors must adhere to the Health and Safety laws, rules, and regulations. The Hogs For Hospice Motorcycle Rally Health and Safety Inspector may offer advice to vendors in violation, for corrective actions on the part of the vendor.

7) CERTIFICATION OF COMMERCIAL COOKING EQUIPMENT

Applicants must advise the Leamington Fire Department of plans to bring flammable liquids and gases on site. Applicants must obtain and furnish their ‘Certificate of Inspection’ (TSSA documentation), marked as approved. Booths with flammable liquids or gases must setup this equipment 15 feet away from tents. Tents with open flames must be approved for ‘Flame Spread Ratings’.

8) VENDOR APPROVED SPACE

Extensions, awnings, poles, guide wires, pegs, tables, etc., shall be contained within the total site, keeping aisles and walkways clear and unobstructed. The vendor is contracting for the use of space at Seacliff Park as indicated on the application. All activities, promotions and/or sales must take place within this space. Any activities outside of this space, at any Festival venue, are expressly forbidden. Vendors exceeding approved site space may be either relocated or have their site application cancelled with removal from the grounds. Either action occurs without refund or other consideration. All products and services shall be displayed within the boundaries of tents and tables. No displays are permitted outside the site’s measured space area.

9) WATER & ELECTRICITY

Ensure that water connection secures to a standard hose bib connection which must be of a white potable type hose. The Health and Safety inspector will verify the water hose connection and type and may request a new water supply hose if the one you provide is not sufficient. High power is limited and available on a first come, first served basis. No generators will be provided. If you need to use your own generator, approval from the Hogs For Hospice Motorcycle Rally is needed. We supply up to 220/240 amp twist locks at our disconnect locations.
